The Athenaeum of Ohio forms men and women to follow Christ faithfully and serve His mission by fulfilling their vocations in the Church. Through its three divisions (Mt. St. Mary’s Seminary of the West, the Lay Pastoral Ministry Program and Special Studies Division) it prepares men for the Roman Catholic priesthood and men and women for various roles in the Church. The student body presents a wide spectrum in terms of age, educational background and vocational goals. These range from priesthood to lay ecclesial ministry and from teaching to personal enrichment. Academic performance and professional achievement are required, but equal weight is placed on pastoral, human and spiritual formation. There is a substantial formation program for priesthood candidates and integrated formational activities for other students.


Receptionist and Executive Administrative Assistant



The Athenaeum of Ohio Administrative Office is seeking an experienced Executive Administrative Assistant. This full-time position reports to the President/Rector as well as the Vice President for Finance and Administration and serves as receptionist in Administrative Offices and performs executive administrative and secretarial duties for officers of the institution.

Specific duties include:
  • Receptionist - handling and directing phone calls, greeting and directing guests and visitors
  • Create and maintain the central institutional calendar
  • Maintain student and alumni files, recording ministries conferred by Bishops
  • Board of Trustees Meetings - prepare packets of information to mail to Board members, take and transcribe minutes for Chair's signature
  • Complete and distribute weekly newsletter for facilities use after coordination from Director of Liturgy for liturgical services
  • Reserve meeting and guest rooms for in-house and outside groups, issuing agreements for use of facilities to outside groups; prepare invoices upon event's completion
  • Coordinate facilities set-up and food services with Housekeeping, Maintenance and Kitchen Manager
  • Coordinates the planning of special events held at the Athenaeum or that are hosted by the Athenaeum - receptions, dinners. Archdiocesan events, Bishop Fenwick Society dinners and events
  • Assist with the coordination of student rooms, for new students
  • Prepares the packets of application materials for incoming students and distributes to the Formation Review team; schedule new incoming student interviews
  • Schedules the annual visits and meetings for the Bishops and Vocation Directors of the dioceses we serve
  • Assistant to Dean of Men and Director of Field Education - providing administrative and secretarial duties required; coordinating special seminary events, e.g., Welcome Weekend, Vocation Night. Pastoral Intern Programs with the appropriate departments
  • Other duties as assigned including attendance at special events and other projects.
Qualifications:
  • Well-developed interpersonal communications and confidentiality a must
  • Detail oriented with excellent communication and computer skills
  • Proficient in Microsoft Office including Outlook, Excel and Word
  • Able to manage multiple priorities
  • Ability to thrive in a fast-paced environment
  • Must have excellent telephone skills and customer service skills, a problem solver; extremely resourceful; trustworthy; extremely confidential and understands a sense of urgency
